Privacy Policy

This policy sets out how the Occupational Hygiene Training Association (OHTA) uses and protects your personal information, including data from your use of our website.

OHTA is the Data Controller for personal data relating to supporters and website users. Our ICO registration number is ZA099142.

We do not trade personal data for commercial purposes and will only disclose it if it is required by law, it is necessary to fulfil our contract with you, or it is with your consent.

This policy was last updated in July 2020 and adheres to the General Data Protection Regulation (GDPR), which came into force on 25 May 2018. It replaces the privacy policy published in the OHlearning Terms of Use.

Authorised Representatives of Member Associations

According to the OHTA Articles of Association the Board must keep a register of names and addresses of the members together with the name of each member’s Authorised Representative. OHTA assumes that an individual who represents an organisation which is a member of OHTA would expect to receive communications such as an e-bulletin or news release because they align with the objectives and commitment identified in OHTA’s agreement with the association. These communications are sent to the Authorised Representative based on there being a legitimate interest for the representative and the association, and so that the representative can share information with the association. 

Approved Training Providers 

OHTA assumes that an individual who represents an organisation which is an Approved Training Provider of OHTA would expect to receive communications such as an e-bulletin, news release or guidance on course delivery because they are considered professionally relevant, and provide information relating to the OHTA international training scheme and qualifications framework.

Personal information is stored securely on our computer system and in Dropbox, which is a cloud-based system.

University Contacts 

OHTA assumes that an individual who represents a university which promotes its course(s) on the OHlearning website would expect to receive communications such as an e-bulletin or news release because they are considered professionally relevant, and provide information relating to the OHTA international training scheme and qualifications framework.

Supporters of OHTA

If you attend an event related to OHTA for which OHTA provides speakers and content as well as organising the venue, you will usually be asked to provide personal information (name, organisation). We will use your personal information to keep a record of attendance. If you would like to be added to our distribution list for news about OHTA, you can sign up at the event by providing your email address, or sign up on our website.

If you are a speaker/presenter at an OHTA event, we will publicly promote your involvement via Twitter, LinkedIn and emails to our stakeholders. This data may continue to be processed by those platform providers after the event has ended.

If you belong to an organisation that is a partner/stakeholder of OHTA, or are a volunteer working for OHTA, OHTA assumes that you would expect to receive communications such as an e-bulletin or news release because they are considered professionally relevant, and provide information relating to the OHTA international training scheme and qualifications framework

 

We use Mailchimp to manage our emails relating to announcements and ebulletins. Mailchimp store their data in the US although they comply with the EU-U.S. Privacy Shield Framework and the Swiss – U.S. Privacy Shield Framework.  You can opt in or out at any time by selecting ‘unsubscribe’ at the bottom of one of our emails or by sending an email to team@ohlearning.com.

Website Users

We only collect the minimum personally identifiable information that is needed to operate OHlearning.com. We may however collect anonymous (non-personally identifiable) information to help us improve the OHTA website.

We use "cookies", which are small pieces of information that are stored by your browser on your computer's hard drive. Both session and permanent cookies are used. Session cookies are stored on your computer to facilitate the login procedure, and we store a permanent cookie on your computer for the country location feature (so that the internet address doesn't have to be looked up every time you visit the site).

We use Google Analytics (GA) to track site user interaction. We have GA code installed on our site which creates cookies.  The cookies contain an ID number which is used to uniquely identify your browser and track each site you visit that has GA enabled.

We use this data to determine the number of people using our site and to better understand how they find and use our web pages. With this information we can continually improve the information that we provide on our site. We can also use it to increase the number of new people finding our site.

 

GA stores the following data:

 

Time of visit, pages visited, and time spent on each page of the webpages

Referring site details (such as the URL a user came through to arrive at this site)

Type of web browser

Type of operating system (OS)

Flash version, JavaScript support, screen resolution, and screen color processing ability

Network location and IP address

If you already have GA cookies, they will be updated with the latest information about your visit to the site.  As we cannot access any personal data about you ourselves, we are not the Data Controller for your GA profile data. You would need to contact Google directly for this information.

You have the right to object to this tracking and to stop it happening.  If you are uncomfortable with this tracking, you can take the following actions:

  • Use a tracking-blocker, such as Privacy Badger
  • Clear cookies after every browsing session
  • Install the GA opt-out extension

Please refer to your browser's help screen for more information on how to clear, enable and manage cookies. Denial of cookies should not prevent you from using OHlearning.com but you may find reduced functionality.


Website Administrators (Approved Training Providers, National Associations, Universities)

We need to obtain and hold personal information about you so that you can be registered as an administrator in order to manage your organisation’s web pages. You have the right to access your information at any time. For queries or to delete your account please contact us by email at team@ohlearning.com.


Community Users 

We need to obtain and hold personal information about you so that you can be registered as a member of the OHlearning community, enabling you to post messages, upload documents and make course requests. Very occasionally we may need to contact you to provide updates on the status of the OHlearning community. You have the right to access your information at any time. Third Parties

We do not disclose personal information to any unaffiliated third party without your express agreement. If you suspect that information about you has been used by third parties without your agreement please let us know so that we can investigate the circumstances.
